Applicant Privacy Policy

This Notice explains how Lecella uses Personal Information about job applicants. We refer to this as "Recruitment Information". You may also have certain legal rights with respect to Recruitment Information. This Notice also summarizes what these are.

This Notice applies to applications submitted via Lecella's careers website, including via third-party systems, third parties, such as recruitment agencies, job boards, and other means, such as by post and email.

1. WHAT RECRUITMENT INFORMATION DOES LECELLA COLLECT?

Lecella will generally only collect Recruitment Information in the recruitment process that is necessary to assess you for the position for which you have applied. This includes the following categories:

  • Application information: This information will generally tell us who you are and help build a picture of your capabilities and suitability for certain positions. This type of information may include your name, contact information, current company, information contained in your CV/resume (e.g. professional qualifications, previous employment history and personal interests and experiences), information contained in your social media accounts or personal websites or accounts (e.g. LinkedIn or Twitter), information about the type of work and projects you have been involved with and any other information you may wish to provide to us as part of your application;
  • Recruitment process information: This is information collected as a result of the recruitment process, such as your performance at assessment centers or interviews, and information provided by your references.
  • Future opportunities information: This is information collected to keep in touch with you about future job opportunities at Lecella, such as your name, email, location, field of expertise, and the kind of role you are interested in.
  • Careers website information: This is information related to your use of Lecella's careers website, for example, your IP address. This information may be collected using cookies and similar technology. For more information about how Lecella uses cookies and similar technologies, please see the Online Privacy Policy.
  • Personal Information about criminal convictions or medical information will only be sought where permitted by applicable law.

Lecella generally receives Recruitment Information either (a) directly from you (for instance, when you provide information as part of your application or during the recruitment process) or (b) from third parties (for instance, from recruitment agencies).

Lecella will indicate whether the information requested is mandatory or optional. If you fail to provide mandatory information, in some circumstances, this may mean Lecella is unable to process your application.

2. WHAT WILL LECELLA DO WITH YOUR RECRUITMENT INFORMATION?

The main purposes for which Lecella uses your Recruitment Information include:

  • Supporting and processing your Application, for example, so Lecella can assess your ability to meet the job specification, to shortlist applicants, and to verify references and professional qualifications provided by applicants.
  • Improving Lecella's Application Process, for example, to ensure that the careers website is user-friendly and contains appropriate and helpful information.
  • Security Management, for example, to ensure the security of Lecella's premises, assets, information, employees, and other personnel.
  • Legal and Regulatory Compliance, such as compliance with health & safety requirements and other legal or fiscal obligations, or in connection with litigation or an internal investigation or audit, as well as equal opportunities monitoring.

Lecella may require you to undertake drug and alcohol testing before commencing employment, in accordance with applicable law.

Lecella will process your Recruitment Information where it has a legal basis for doing so. Generally, Lecella will be processing your Recruitment Information to help it decide whether to enter into an employment relationship or contract of employment with you. At other times, Lecella will be processing your Recruitment Information because you have consented to Lecella doing so. In such a case, you can withdraw such consent at any point.

Lecella may also process your Recruitment Information to comply with its legal obligations or because it is in Lecella's legitimate business interests to do so (for example, where it is necessary to understand applicants in sufficient detail so Lecella can operate an effective recruitment process).

Lecella may process Personal Information relating to gender, race, ethnic origin, or physical or mental health, where the processing is required to comply with local law and/or the processing is used to identify or keep under review the existence or absence of equality of opportunity or treatment.

3. HOW MAY THIRD PARTIES BE INVOLVED IN THE PROCESSING OF YOUR RECRUITMENT INFORMATION?

Lecella may verify the Recruitment Information you provide and/or collect Personal Information about you from third-party sources to assist with "Pre-Employment Checks". If this occurs:

  • you will be told in advance which aspects of your Recruitment Information will be verified, including an explanation of how the Pre-Employment Checks will be carried out; and
  • Information about criminal convictions (if collected) or medical information will only be collected in accordance with applicable law.

Lecella may also share the Recruitment Information you provide with, and/or collect Personal Information about you from, third-party service providers that Lecella works with to increase the efficiency of Lecella's practices at all stages of its recruitment process. These service providers assist Lecella with matters such as:

  • designing and implementing appropriate methods to score and assess candidates;
  • identifying candidates who have previously applied to Lecella, and other potential internal and external candidates, who may be suitable for a particular role;
  • streamlining CV/resume reviewing;
  • efficiently capturing and storing feedback;
  • scheduling and running interviews and assessments; and
  • creating hiring plans.

Some of these services could be automated and may mean that decisions are made about your application using automated means. In most situations, the automated results are considered in tandem with, and not instead of, human judgment.

In some circumstances, where you have the right under applicable law, you may: (a) have someone review a decision that you think may have been taken about your application using automated means; (b) express your point of view; and/or (c) contest the decision.

4. LECELLA DATA PRIVACY PRINCIPLES

Lecella observes the following principles in relation to Recruitment Information:

  • We process it fairly and lawfully;
  • We process it for a specific legitimate business purpose and do not process it in a manner incompatible with that purpose;
  • We use Recruitment Information that is adequate, relevant, and not excessive for the purpose for which it is processed;
  • We keep it accurate and, as necessary, up to date;
  • We keep it in a form which permits identification for no longer than necessary for the purpose for which it was collected;
  • We protect it against accidental or unlawful destruction or accidental loss, alteration, unauthorised disclosure or access, using appropriate technical and organisational measures;
  • We process it in accordance with an Individual's rights.

5. WHO IS YOUR RECRUITMENT INFORMATION DISCLOSED TO?

(a) Within Lecella

Lecella restricts access to Recruitment Information to people within the company who have a "need to know" that information. For example, certain individuals within Lecella will have access to your Recruitment Information in order to process your application and manage the recruitment process (this may include individuals in Lecella's Talent Acquisition team and individuals to whom you would report if your application is successful).

(b) Outside Lecella

Lecella shares Recruitment Information with authorized third-party service providers to conduct and manage the recruitment process. For example, Lecella may share your Recruitment Information with such service providers to conduct screening and verification of your application and the information you have provided to us. This includes verifying academic and professional qualifications.

Beyond its third-party service providers, Lecella will only disclose your Recruitment Information to third parties outside Lecella:

  • when required to do so by law;
  • in response to a legitimate request for assistance by the police or other law enforcement agency;
  • to protect an individual's vital interests or safety;

6. HOW LONG WILL LECELLA RETAIN YOUR RECRUITMENT INFORMATION?

Lecella keeps your Recruitment Information in accordance with our internal retention policies and procedures. If you are unsuccessful in your application with us (or if you reject the position), Lecella will keep your Recruitment Information for no longer than is necessary for the specific recruitment process. Alternatively, if you choose to keep your profile preferences up to date, your Recruitment Information will be retained so that we may contact you again if another suitable position arises.
